Email Deliverability & Best Practices
Ensuring your emails reach your recipients' inboxes is crucial for successful outreach. This guide covers best practices for avoiding spam filters and maintaining good email deliverability when using Yesware.
Understanding Email Deliverability
Email deliverability refers to your ability to successfully deliver emails to your recipients' inboxes. Several factors affect deliverability, including your sender reputation, email content, authentication protocols, and recipient engagement.
How Yesware Sends Emails
Yesware does not modify the IP address when it sends emails. Instead, Yesware transmits emails through your email server for delivery. This means:
- Emails are sent from your own email server (Google or Microsoft)
- Your sender reputation is based on your email provider's IP address
- There are no "sent on behalf of" messages that can trigger spam filters
- Recipients see emails as coming directly from you
Avoiding Spam Filters with Link Tracking
Link Tracking enables you to see what content your prospects are interested in and prioritize your follow-ups by tracking when links within your email messages are clicked by the recipient. When link tracking is enabled, your links are replaced with trackable links which enable Yesware to know when the link was clicked on. Yesware then quickly redirects your recipient to the final destination.
Why Tracked Links May Be Flagged
Some email spam filters may flag tracked links as spam because hiding the true destination of a linked message is a common tactic of what are known as phishing attacks where a bad URL is hidden behind what appears to be a legitimate URL.
Best Practices for Link Tracking
To lessen the chance of your email being flagged as spam by your recipient's email filters, we recommend:
-
Use descriptive links: For example, use Yesware rather than www.yesware.com or the raw URL.
-
Format links as words, not full URLs: Instead of "Check out www.yesware.com", use "Check out our website"
-
Avoid excessive links: Don't include too many tracked links in a single email
-
Build sender reputation: Consistent sending patterns and positive recipient engagement help build trust
-
Use a signature with images: This encourages recipients to display images, which helps with tracking
On rare occasions, the recipient's mail filters may flag emails as spam regardless of using descriptive links. There are additional best practices which can lessen the chances of your link-tracked email being flagged as spam: click here to learn more.
If, after taking these steps, your link-tracking enabled email continues to be flagged as spam, submit a support request via support@yesware.com
Email Authentication Protocols
DMARC, DKIM, and SPF
DMARC (Domain-based Message Authentication, Reporting, and Conformance), DKIM (DomainKeys Identified Mail), and SPF (Sender Policy Framework) are email authentication protocols that help verify that emails are actually from who they claim to be from.
These protocols are typically configured by your email provider (Google or Microsoft) and help establish your sender reputation.
