What is Contacts?

Contacts is your inbox's integrated address book. It allows you to view contact profiles, track past interactions, add recipients to Campaigns, and record and review internal notes—all from within your email workflow.

Contacts are created automatically when you send or receive emails. You can also create them manually to pre-fill information or add contacts before initiating outreach.

Why is this important?

Having a centralized contact management system within your email platform helps you:

  • Keep all contact information organized and up to date
  • Access interaction history quickly when preparing for meetings or follow-ups
  • Add context through internal notes that stay with each contact
  • Streamline your outreach by adding contacts directly to Campaigns
  • Enrich contact profiles with additional professional data

What's included?

Contacts provides several key capabilities:

  • Automatic Contact Creation: A contact record is created for any recipient you email using Gmail or Outlook
  • Manual Contact Creation: Add contacts manually when needed
  • Contact Profiles: View and edit contact details including name, email, company, title, and phone number
  • Interaction Timeline: See a full timeline of emails sent, replies received, and meetings booked
  • Internal Notes: Add and save notes for each contact
  • Contact Enrichment: Retrieve additional professional and company data (add-on feature)
  • Quick Actions: Start Campaigns or compose emails directly from contact profiles

How to access Contacts

Using Contacts on the App Site (Gmail and Outlook)

You can access Contacts through the Yesware web app:

  1. Go to app.yesware.com and click the Contacts tab.
  2. Click a contact's email address to open their profile page.
  3. From the profile page, you can:
    • View and edit contact details (click a field, edit, and hit Enter to save)
    • See a full timeline of interactions (emails sent, replies received, meetings booked)
    • Add internal notes in the Notes section and click Save to keep them
    • Create a new contact using the New Contact button (email address is required)

Contacts does not integrate with Salesforce, but you can submit feedback via the Share Your Feedback button if you'd like to see integration features.

Using Contacts in Gmail

If you're a Gmail user, you can also manage Contacts directly from your Yesware Sidebar:

  1. Click the Y icon to open the Yesware sidebar.
  2. Click the phone book icon to access the Contacts tab.
  3. Use the search bar to find a profile by name or email.
  4. Click on a contact to view and edit their details.
  5. To create a new contact manually, click the add (+) icon at the top right.

When viewing an email, the sidebar will auto-load the associated contact profile, allowing you to see their timeline and add notes as needed.

Using Contacts in Outlook

Outlook users access Contacts through the Yesware web app:

  1. Go to the Contacts page in the Yesware web app.
  2. Search for and select a specific contact or create a new one using the New Contact button.
  3. Click on any contact to view and edit their information.
  4. The Contact Timeline is available in the Tracking tab of the Yesware sidebar within Outlook.

How contacts are created

Contacts are created automatically when you send or receive emails:

  • Gmail: A Contact is created in the Yesware Sidebar after you send an email to a new recipient.
  • Outlook: A Contact is created in the Contacts page of the Yesware web app after an email is sent.

You can also create contacts manually before sending your first email to them.

Frequently Asked Questions

What are the user limits for the Pro Plan?

The Pro Plan includes a limit of 5 seats (users). If you wish to add more seats, you will be prompted to upgrade your plan or contact the sales team.

How do I update my Contacts Email button to email from Gmail?

The email button on the Contacts page will open in your default email program. To use Contacts Email with Gmail (and have access to Yesware features), follow these steps:

  1. Open Chrome Browser and click on the three dots on the top right of Chrome, then select Settings.
  2. Go to the Privacy and Security section.
  3. Next to Site Settings, click the right arrow.
  4. Scroll down to Additional Permissions and expand it.
  5. Next to Protocol Handlers, click the right arrow.
  6. At the top, make sure Allow sites to ask to become default handlers for protocols (recommended) is turned on.
  7. Scroll down to the Blocked section and make sure that mail.google.com doesn't appear in this list.
  8. In your Chrome Browser's address bar, enter mail.google.com.
  9. Click the Service handler icon.
  10. Click Allow and Done.
Can I use Contacts if I'm not sending emails yet?

Yes. You can manually create contacts before sending your first email. This allows you to pre-fill information and prepare for outreach. Only an email address is required, but you can also include name, company, title, or phone number.

Will I see contacts from internal emails with my colleagues?

Contacts will be created for any email recipient, but certain activity (like the first inbound email from a recipient or internal emails with colleagues) may not show in the Contact Timeline.

Where can I access Quick Actions for contacts?

In Gmail, Quick Actions are available in the Contacts tab of your sidebar. You'll see Campaigns and Email buttons that allow you to quickly start outreach. In the Contacts page on the app site, you can also click on the Campaign button within a contact to launch the Campaign screen.
