Getting Started with Yesware
Yesware is a sales engagement platform that works in your Gmail or Outlook inbox. This guide walks you through installing Yesware, authenticating your account, enabling tracking, and exploring templates, campaigns, and Salesforce integration.
Getting started checklist
- Install Yesware for Gmail or Outlook: Add the extension or add-in to your email client
- Authenticate and open the Sidebar: Sign in and access Yesware features
- Send your first tracked email: Enable tracking to see opens and clicks
- Create a template or campaign (optional): Automate and personalize your outreach
- Connect Salesforce (Enterprise only, optional): Sync emails and activities to your CRM
Step 1: Install Yesware for Gmail or Outlook
Yesware supports Gmail (via Chrome extension) and Outlook (Office 365) (via O365 add-in). Installation takes about a minute.
How to install
For Gmail:
- Go to yesware.com/install.
- Choose your inbox type and sign in with your email.
- Grant Yesware access when prompted.
For Outlook (O365):
- Visit Microsoft AppSource and click Get it Now.
- Close and re-open Outlook.
- Open or compose an email. Click the blue Y on the right side of the ribbon to open the Yesware Sidebar.
For Outlook on Mac:
- Compose a new email.
- Click Apps > Get Add-ins.
- Search for Yesware and click Add.
See How do I install Yesware? for more details. Enterprise users will also authenticate to Salesforce during setup.
Yesware for Outlook requires O365-hosted email. GoDaddy and other third-party hosted email may not work. See troubleshooting if installation fails.
Step 2: Authenticate and open the Sidebar
After installation, sign in with your email to activate Yesware. The Sidebar is where you access tracking, templates, campaigns, and Meeting Scheduler.
How to open the Sidebar
- Gmail: The Yesware panel appears when you compose or view emails. Use the Yesware icon in your inbox.
- Outlook: Click the blue Y in the ribbon, or open Get Add-ins and select Yesware. Pin the Sidebar open in your compose window for easier access.
If you do not see the Sidebar, see How do I launch the Sidebar? or troubleshooting.
Step 3: Send your first tracked email
Yesware tracks when recipients open your emails and click links. Tracking is on by default. You will see notifications in your Activity Feed when someone engages.
How to send a tracked email
- Compose an email as usual.
- Ensure the Track checkbox is checked (lower left in Gmail, or in the Yesware Sidebar in Outlook).
- Send the email.
- View opens and clicks in your Activity Feed.
See the Email Tracking guide for link tracking, attachment tracking, and privacy settings.
Step 4: Create a template or campaign (optional)
Templates save reusable email copy. Campaigns let you run multi-touch sequences (email, calls, LinkedIn tasks) to automate outreach.
How to create a template
- Compose an email with the content you want to reuse.
- Save it as a template from the Yesware Sidebar or template menu.
- Use placeholders like
{{First Name}}for personalization.
How to create a campaign
- Open Campaigns in the Yesware Sidebar.
- Create a new campaign and add your email touches.
- Add recipients and launch. Yesware will manage follow-ups and tasks.
See Multi-Channel Campaigns and Campaign Actions & Tasks for details. You can also use Meeting Scheduler to share booking links.
Step 5: Connect Salesforce (Enterprise only, optional)
Enterprise plans can sync Yesware emails, opens, clicks, and activities to Salesforce. This keeps your CRM updated without manual logging.
How to connect Salesforce
- In the Yesware Sidebar, open the Salesforce tab.
- Click Authenticate with Salesforce.
- Sign in to Salesforce and approve access.
- After connecting, use the regular send button (or Send with Yesware if required) so activities sync to the right Contact or Lead.
See Salesforce Integration for sync behavior, calendar sync, and the Salesforce sidebar. For best practices on deliverability, see Email Deliverability.
Frequently asked questions
Can I use Yesware with GoDaddy email addresses?
No. Yesware only supports Gmail and Outlook. The Outlook add-in requires a direct, Microsoft O365-hosted email address.
Can I use Yesware for more than one email address?
Yesware is licensed by email address. Each email needs its own license. You can add licenses at app.yesware.com/account/manage. Yesware does not work with Alias or "Send As" addresses.
Can I install Yesware on a shared mailbox?
No. Yesware works only with the primary email address linked to your account. Emails from shared mailboxes are not compatible with the Yesware add-in.
How do I re-install Yesware if I get an add-in error in O365?
In O365: Get Add-ins > My add-ins > Yesware, click the 3 dots, and select Remove. Close Outlook, re-open it, then search for Yesware and add it again. Also go to File > Office Account > Office Updates > Update Now. Pin the Yesware Sidebar open in your compose window.
