Teams

Teams are available on Premium and Enterprise plans. Teams allow you to collaborate, share content, and assign roles across your organization.

Create a team

Gmail

  1. In Gmail, open the Yesware drop-down menu in the top-left corner.
  2. Select My Teams.
  3. Click Create Team.
  4. Enter the Team Name and click Save.
  5. Use the Add User to Team drop-down to invite members.
  6. Refresh your screen, then assign each member a role.

Outlook

  1. Open the Yesware Sidebar and select the Menu tab.
  2. Click Manage My Teams.
  3. Select Add Team and name your team.
  4. Use the Add User to Team drop-down to invite members.
  5. Assign each member a role after adding them.
  6. Repeat for all team members.

Add members to your team

All team members must be on the same payment account before they can be assigned to a team.

  1. Log in to the Self-Service Page: Manage Your Account.
  2. Add the email addresses of the individuals you want to include.
  3. Navigate to the team management section.
  4. Select the email addresses from the list of added members.
  5. Assign the selected email addresses to the relevant team.

An additional fee applies for each license added to the payment account.

Share templates with your team

Team Leaders on Premium and Enterprise plans can share and manage templates across the team.

  1. Navigate to the template.
  2. Click Share with Team at the bottom of the page.
  3. Select the team and folder.
  4. Choose:
    • Share — moves the template from your Personal folder to the team folder. Team members can view, edit, and use it.
    • Duplicate & Share — keeps your personal copy and creates a shared copy for the team.

Alternatively, click MoreMove Template, switch from Personal to Team, then select the team and folder. Note that moving removes the template from your Personal folder.

Create and share a template

  1. Click New Template.
  2. In the Save in Folder section, click EditTeam.
  3. Select the team and folder.
  4. Save. The template is shared immediately — no personal copy is created.

After sharing, team members must refresh Gmail to access the new template.

Reorder templates

Navigate to any team folder and click Custom Sort. Drag and drop templates into your preferred order.

Frequently asked questions

Can multiple people on my team share content?

Yes — any number of team members can share Templates and Campaigns. Members must be designated as a Team Leader to share content with the team.

Who can create and manage teams?

Users on Premium and Enterprise plans can create and manage teams in Yesware.

Do I need to do anything after adding a user to a team?

Yes. After adding a user, refresh your screen and assign them a role within the team.
