Templates
Templates let you save reusable email content — subject lines, body text, formatting, images, and attachments — so you can send consistent, personalized messages in a fraction of the time. Templates work in both Gmail and Outlook.
On Premium and Enterprise plans, templates can be shared across your entire team so everyone sends from the same approved messaging.
Access your templates
Gmail — Click the Templates menu at the top of Gmail to open the template library, or click the Templates button in any compose window to browse and insert.
Outlook — Click Open Templates in the Yesware ribbon to access your library and manage templates.
You can also manage all templates at app.yesware.com/template_library/manage.
What's included in a template
- Subject and body — full email content including formatting, bullet points, and spacing
- Images and HTML — inline images or custom HTML layouts
- Tracked links — links added to templates are automatically tracked
- Attachments — attach files directly, with optional download controls for PDFs and presentations
- Merge fields — personalize templates with Text Fields, Dropdown Fields, or live Salesforce data (Enterprise)

Measuring template performance
Templates Report — See which templates are being used most and how they perform across your team. Available from the Reporting section.
Response Insights — As you write or edit a template, Response Insights scores your message and suggests improvements to increase predicted reply rates. Click Response Insights in the lower right of the template editor to view your grade.
Favorites — Star any template to pin it to your Favorites tab for quick access when composing.
Frequently asked questions
Can I add a video to a template?
Not directly. Take a screenshot of the video, insert it as an image in the template, then hyperlink the image to the video URL. This gives recipients a clickable thumbnail.
Can I use dynamic Salesforce fields in templates?
Yes, on the Enterprise plan. When you select a template, Yesware looks up the first recipient in the To field and auto-fills any Salesforce merge fields with matching Contact or Lead data. See Dynamic Templates for details.
Can I export my templates?
No. Template export is not available. The best alternative is to copy and paste the template content manually from the Yesware template library.
