Getting Started with Reputation AI

Reputation AI brings your reviews, business listings, and online mentions into one place so you can monitor your reputation and respond to customers quickly. This guide walks you through connecting your accounts, setting up listings, and configuring alerts so you stay on top of what people say about your business.

  1. Add or select your business location: Ensure you're monitoring the right business.
  2. Connect your review sources: Link Google, Facebook, and other platforms.
  3. Set up and verify your listings: Confirm your business listings and fix any errors.
  4. Configure notifications: Get alerted when new reviews or mentions appear.
  5. Start monitoring and responding: View reviews and respond where supported.

Step 1: Add or select your business location

Before connecting review sources, make sure you have the correct business location selected. If you manage multiple locations, you can switch between them from one login.

How to add or select a business

  1. Log in to Business App.
  2. Navigate to Reputation AI.
  3. Use the location selector (if applicable) to add a new business or switch to an existing one.

Each business location has its own reviews, listings, and reports. Switch locations to view data for a specific business.

Step 2: Connect your review sources

Reputation AI pulls reviews from platforms like Google, Facebook, and Yelp. Connect your accounts so reviews appear automatically in your dashboard.

How to connect review sources

  1. Go to Reputation AI > Settings > Connect Accounts.
  2. Click the + icon next to the platform you want to connect (for example, Google or Facebook).
  3. Sign in and grant the required permissions.
  4. Select the business location or page to connect.

For Google, you can also connect from Reputation AI > Listings by clicking a Google listing and choosing Connect Google Business Profile. See How to authenticate a Google Business Profile listing for full steps.

Google Business Profile and Facebook must be connected to respond to reviews directly from the platform. Some sources (like Yelp) do not allow third-party responses.

Step 3: Set up and verify your listings

Listings are the places online where your business appears: search engines, directories, and review sites. Reputation AI matches your business to these listings and flags errors so you can fix them.

How to manage your listings

  1. Go to Reputation AI > Listings > Primary Listings.
  2. Review your Listing Score and compare it to industry averages.
  3. Click a listing to view details, go to the source to edit, or mark it as correct.
  4. Connect or fix your Google Business Profile listing if needed. See Edit and update listings for details.

Your Google Business Profile must be verified through Google before Reputation AI can sync and display data. Follow Google's verification steps if you have not verified yet.

Step 4: Configure notifications

Stay informed when new reviews or important mentions appear. Configure alerts so you can respond quickly.

How to set up notifications

  1. Go to Reputation AI > Settings.
  2. Open the Notifications section.
  3. Choose between instant alerts or daily digest emails for new reviews and mentions.
  4. Optionally set up scheduled reports for weekly or monthly summaries.

For mentions tracking, add keywords in Settings > Mentions so Reputation AI can monitor when your business is mentioned online.

Step 5: Start monitoring and responding

Once your sources are connected and listings are set up, reviews will populate in your dashboard. You can view them, respond where supported, and use templates to save time.

How to view and respond to reviews

  1. Go to Reputation AI > Reviews > Manage Reviews.
  2. Browse reviews from all connected sources in one place.
  3. Click Respond to reply directly (supported on Google Business Profile and Facebook).
  4. Use response templates to reply quickly, or try AI-generated responses if available on your plan.

What review platforms are supported?

Can I respond to reviews from Reputation AI?

Yes, when the source supports it. You can respond to Google Business Profile and Facebook reviews directly. Yelp requires you to respond on Yelp's platform.
