Account Roles

Yesware has two administrative roles:

Account Manager — The primary administrator. Can create and manage teams, promote users, share templates, and add or remove users from the account.

Billing Manager — Receives order receipts, account change notifications, and subscription renewal communications.

Managing Users

Adding Users

You must be a Yesware admin or Account Manager to add users.

  1. In Gmail, open the Yesware dropdown and select My Account
  2. Navigate to Users in the left-hand menu
  3. Click Add Users in the upper right

Adding a new email address requires an additional license. Yesware will confirm any extra charges before adding the license. Users must be on a verified domain — by default, the domains associated with Account Managers on your account. To add a new verified domain, contact support@yesware.com.

To edit a colleague's name, remove the user and re-add them with the correct name, or contact support@yesware.com for assistance.

Removing Users

  1. In Gmail, open the Yesware dropdown and select My Account > Settings
  2. Navigate to Users in the left-hand menu
  3. Select the user(s) you want to remove and click Remove

Updating Seats at Renewal

  1. Go to your User Administration page
  2. Click Update Seats at Renewal and adjust as needed

This ensures you're only charged for the seats you intend to keep.

Notifications

Gmail — Pop-up Notifications

  1. Click the Yesware dropdown in Gmail
  2. Select Preferences > Notifications
  3. Toggle Event Notifications on or off
  4. Click Save & Reload

Outlook Desktop — Desktop Notifications in Chrome

  1. In the Yesware Sidebar, go to the Tracking tab
  2. Click Open All Events in a New Window
  3. When Chrome prompts you, click Allow to enable desktop notifications

Keep the tab open to continue receiving notifications.

Re-authenticating Your Account

If your Yesware session expires, features like Campaigns, Send Later, Reminders, and Salesforce Sync will stop working until you sign back in.

Common reasons for needing to re-authenticate:

  • You changed your password
  • Your authorization token expired
  • You changed your email address

To re-authenticate in Gmail: Sign out of Gmail and sign back in, or visit app.yesware.com and click Sign in with Google.

Any failed Campaigns, Send Later messages, or Reminders that occurred while you were unauthenticated cannot be restarted.

Email Preferences

To manage which Yesware emails you receive, visit the Preference Center. Enter your email address, check the boxes for the communications you want, and click Save Preferences.

Frequently Asked Questions

How do I delete a trial account?

Trial account deletion must be handled by Yesware Support — this cannot be done on your own. To remove Yesware from your inbox in the meantime:

Chrome: Go to chrome://extensions, find Yesware, click Remove, then refresh Gmail.

Outlook: Click Get Add-ins > My add-ins, find Yesware, click the three dots, select Remove, then close and reopen Outlook.

Contact support@yesware.com to complete the account deletion.

How do I turn off notification sounds for email opens?

Yesware doesn't have a built-in notification sound, but you can manage sounds through Gmail's settings:

  1. In Gmail, click Settings > See all settings
  2. Scroll to Desktop notifications
  3. Next to Mail notification sounds, select None
  4. Click Save Changes
How do I control GeoIP location sharing?

GeoIP data is collected by a third-party service. You can manage this through your operating system:

Windows: Go to Settings > Privacy > Location and toggle location on or off for your device.

Mac: Go to Apple menu > System Settings > Privacy & Security > Location Services and disable it for specific apps or entirely.

What domains and IPs should be whitelisted for Yesware?

Ask your IT or network admin to whitelist the following:

Does Yesware integrate with Okta?

Yesware does not have a native Okta integration, but many users use Okta successfully with Yesware. Since Yesware authenticates via OAuth through Google or Microsoft, users authenticated with Okta are typically also authenticated with their email provider and can log in to Yesware without issues. User provisioning and de-provisioning must be managed manually within Yesware.

What are Yesware's email sending limits?

Yesware does not impose a daily sending limit. Your limit is determined by your email provider — Google or Microsoft. Yesware does apply a monthly limit on Campaign recipients, based on your subscription plan. See the Plans & Pricing page for a full feature and limits comparison.
