Manage a Team
Team Leaders on Premium and Enterprise plans can share and manage templates across their team.
Share a template with your team
- Navigate to the template.
- Click Share with Team at the bottom of the page.
- Select the team and folder.
- Choose:
- Share — moves the template from your Personal folder to the team folder. Team members can view, edit, and use it.
- Duplicate & Share — keeps your personal copy and creates a shared copy for the team.
Alternatively, click More → Move Template, switch from Personal to Team, then select the team and folder. Note that moving removes the template from your Personal folder.
Create and share a template at the same time
- Click New Template.
- In the Save in Folder section, click Edit → Team.
- Select the team and folder.
- Save. The template is shared immediately — no personal copy is created.
After sharing, team members must refresh Gmail to access the new template.
Reorder templates
Navigate to any team folder and click Custom Sort. Drag and drop templates into your preferred order.
