Share Templates
On Premium and Enterprise plans, Team Leaders can share templates with their team so everyone works from the same approved messaging. Shared templates are stored in team folders alongside each rep's personal templates.
Share an existing template
- Navigate to the template.
- Click Share with Team at the bottom of the page.
- Select the team and folder.
- Choose:
- Share — moves the template from your Personal folder to the team folder. Team members can view, edit, and use it.
- Duplicate & Share — keeps your personal copy and creates a shared copy for the team.
Alternatively, click More → Move Template, switch from Personal to Team, then select the team and folder. Note that moving removes the template from your Personal folder.
Create and share a template immediately
- Click New Template.
- In the Save in Folder section, click Edit → Team.
- Select the team and folder.
- Click Save. The template is shared immediately — no personal copy is created.
After sharing, team members must refresh Gmail to see the new template.
Manage folders
Folders help you organise templates by team, campaign type, or messaging stage.
Create a folder
- Open the Templates library.
- Click the folder + icon in the upper right.
- Name the folder and choose Personal Templates or a Team.
- Click Create.
Edit or delete a folder
- Click the folder in the Templates library.
- Click the pencil icon to rename or the trash can icon to delete.
Only Team Leaders can create, edit, or delete team template folders.
Move templates between folders
In Gmail
- Click the Templates menu, find and click the template.
- Click More → Move Template.
- Choose the destination folder and click Move Template.
In the Yesware App
- Go to the template library, find the template, click More → Move Template.
- Select the destination folder and click Move Template.
After making changes in the Yesware App, refresh your email to see updates in the extension.
Reorder templates
Navigate to any folder and click Custom Sort. Drag and drop templates into your preferred order.
