Zoom Integration

Yesware's Zoom integration automatically inserts Zoom meeting details when someone books a time through Meeting Scheduler. Available on Premium and Enterprise plans for both Gmail and Outlook, and works with free or paid Zoom accounts.

Connecting Your Zoom Account

  1. Go to your Meeting Scheduler Settings
  2. Click Edit Details on your My Calendar Link
  3. Under Web Conferencing, find the Zoom option:
    • Gmail: Click Connect Zoom Account
    • Outlook: Click Link Account under Zoom
  4. Complete the connection in the popup window — it closes automatically when successful

Adding Zoom to a Meeting Type

  1. Open an existing meeting type or create a new one
  2. Go to Meeting Location
  3. Click Virtual Meeting and select Zoom
  4. A Zoom link will be auto-generated whenever that meeting type is booked

When creating a Custom Availability link, click the Zoom button in the Location section. The Zoom link is automatically included when the recipient books.

What the Recipient Sees

Once a booking is confirmed, the Zoom meeting details appear in the calendar invite sent to all attendees.

If your Zoom account is set to use a Personal Meeting ID (PMI), Yesware will use it. Otherwise, a unique Zoom ID is generated per meeting (recommended for security). Password-protected meetings are only supported if your Zoom admin has enabled passwords at the org level. Zoom settings cannot be managed within Yesware on a per-meeting basis.

Disconnecting Zoom

  1. Log in to your Zoom account and go to the Zoom App Marketplace
  2. Click Manage > Installed Apps or search for Yesware
  3. Click the Yesware app and select Uninstall

Frequently Asked Questions

Zoom links are missing from my scheduled meetings — how do I fix this?

Re-establish the connection by following these steps:

  1. Go to My Calendar Link Settings > Web Conferencing > Zoom and click Unlink Zoom Account
  2. For each meeting type, go to Meeting Location and remove the Zoom link
  3. Go back to My Calendar Link Settings and reconnect your Zoom account
  4. Re-select Zoom as the location for each meeting type
  5. Book a test meeting to confirm Zoom links are now generating correctly

If you don't see an Unlink option, use the Link button instead to re-establish the connection.
