Update your name, work location, and other personal details at My Profile Settings.

Email addresses

You can add additional email addresses to your account — useful if you use aliases or want CalendarHero notifications delivered to a specific inbox.

To add an email:

  1. Go to My Profile Settings → Email
  2. Enter the new address in the Additional Email field and click Add Email
  3. Check your inbox for a verification code, enter it, and click Validate Code

Once added, you can set the new email as your preferred notification address. If it's a Google or Microsoft email, you can also use it to log in.

To remove an email: Click the red X next to the address in your email settings. If an email doesn't have an X, it was added automatically by an integration — remove the associated integration to remove the email.

To remove your original login email, contact support.

Plans and billing

View your current plan and upgrade options at Settings → Billing.

The Billing Admin is the team plan administrator responsible for managing the organization's subscription and billing information (processed via Stripe).

Cancelling your free trial

When your trial ends, your account automatically downgrades to the free Basic plan — no action needed. If you prefer to delete your account entirely, go to My Profile Settings and click Delete Your CalendarHero Account.

Cancelling a Team plan

To cancel a Team plan, an admin must remove all members one by one from the Users section under the organization-wide settings. Select next to each member's name and choose Remove from team — their account downgrades to Basic. Remove the admin last, as they lose org-wide access once removed.

The subscription is cancelled once all users and admins have been removed. Note: there is no direct downgrade path from Team to Professional. If a user wants a Professional plan after leaving the team, they can upgrade after being removed.

Automatic refunds

If you collect payments through CalendarHero, you can enable Automatic Refunds per meeting type. When enabled, a refund is automatically issued when the meeting creator cancels the meeting by clicking Cancel on the Task card.

Refunds are not automatically issued when an invitee declines — the meeting creator must click Cancel on the Task card to trigger the refund. All refunds are processed through your connected Stripe account. CalendarHero notifies the meeting creator when a refund is issued.

AppSumo

Redeeming codes: Go to calendarhero.com/appsumo to redeem your code. A single code gives you the Professional plan (1 user). Each additional code adds one more user to a Team plan (e.g. 2 codes = 3 users, 3 codes = 4 users). There is no limit on total codes, but a maximum of 10 can be purchased at once.

Upgrading from Professional to Team: Go to Settings → Billing and redeem an additional code. You must be registered with a work email address (not @gmail.com) to create a Team plan.

Changing your AppSumo email: The email used to register your AppSumo account cannot be changed — it's tied to your codes by design. If you need to change it, delete your account (which releases your codes) and re-register with the new email at calendarhero.com/appsumo.

Deleting your account

Go to My Profile Settings and click Delete Your CalendarHero Account. When your account is deleted, all stored data — including third-party authorizations — is permanently erased.

Frequently asked questions

Can I export my contacts from CalendarHero?

Yes. You can export contacts via the CalendarHero API or through a Zapier integration.

Can I add my Facebook contacts?

No. Facebook contacts are not supported because CalendarHero cannot access their email addresses, which are required for scheduling.

Can I hide invitee email addresses in the meeting invitation?

No. CalendarHero always shows all invitee email addresses in the meeting invitation — there is no option to hide them.

Can I disable the email sent when a meeting is cancelled or an invitee is removed?

No. These automated emails cannot be turned off. When a meeting is cancelled or an invitee is removed, CalendarHero always sends them an email notification.
