Integration errors
If a connected integration loses access or encounters a problem, an error message appears on your Dashboard, in your morning briefing, and on the affected integration card in My Integrations.
To fix most integration errors:
- Go to My Integrations
- Click … next to the affected integration and select Remove
- Go to the Integration Directory and re-add the integration
- Re-authorizing gives CalendarHero fresh access and resolves most errors
If the error is on a calendar integration and affects a scheduled meeting, return to the Task card after re-adding and click Add to Calendar to add the meeting manually.
Scheduling error on a Task card
A Scheduling Error on an Upcoming Task card means a booked meeting failed to add to your booking calendar due to a calendar integration error. You should also receive an email alert.
- Remove the affected calendar integration from My Integrations
- Re-add it from the Integration Directory → Calendars
- Return to the Task card and click Add to Calendar
If the error persists, contact support.
Duplicate notifications
Duplicate notifications are usually caused by the same email address being connected more than once under the same integration type. Go to My Integrations and remove the duplicate connection.
Timezone mismatch
If your assistant is using the wrong timezone, go to General Meeting Settings, uncheck the Learned box next to the timezone field, and select your correct timezone from the dropdown.
CalendarHero booked over an all-day event
CalendarHero only blocks time for events marked as Busy in your calendar. All-day events default to Free in most calendar apps, which CalendarHero treats as available time. To prevent booking during an all-day event, open the event in your calendar and change its status to Busy.
Collective availability scheduling conflict error
When using a Collective availability meeting type with Include My Availability enabled, do not add yourself as an invitee. Adding the meeting creator as an invitee causes a scheduling conflict error. Remove your own email from the invitees list to resolve it.
Microsoft: enabling bots and tabs in Teams/Office 365
If CalendarHero is not responding in Microsoft Teams, your Office 365 admin may need to enable bots. To enable:
- Go to portal.office.com with an admin account
- Click the Admin icon
- Go to Settings → Services & add-ins → Microsoft Teams
- Under Bots & Tabs, make sure bots are enabled
- Click Save
Allow up to 1 hour for the change to take effect.
Microsoft integration upgrade prompt
If you see an Upgrade Now button on a Microsoft integration (such as Office 365 or Outlook), click it and follow the re-authentication steps to accept updated app permissions. This is required to maintain fast sync speeds and should only take a minute.
Individual users: Go to My Integrations, click Upgrade Now on any affected Microsoft integration, and re-authenticate.
Team admins: Go to Corporate-Wide Integrations, click Upgrade Now on any affected org-level integration (such as Active Directory), and re-authenticate.
Removing a chat platform connection
To disconnect a chat platform (Slack, Teams, etc.), go to Installed Integrations → Messenger and click Remove next to the platform. The next time someone messages your assistant on that platform, it will restart from the beginning.
Revoking Google account access
To remove your Google account from CalendarHero, go to My Integrations, click X next to your Google account, and follow the prompts.
If your Google account shows an error, removing and re-adding it will re-sync the connection automatically.
Frequently asked questions
Why can't I see CalendarHero tabs in Microsoft Teams?
The Dashboard, Settings, Tasks, and Skills Help tabs inside Teams are only available to users who sign in with a Microsoft account. If you use a Google account with CalendarHero, the tabs won't appear — but you can still use your assistant via chat in Teams and access all settings at app.calendarhero.com.
My HubSpot integration shows a permissions error — how do I fix it?
HubSpot requires specific user roles to allow third-party integrations. Remove the integration, confirm your HubSpot user has the necessary permissions, and re-add it from the Integration Directory. Contact your HubSpot admin if the error persists.
Can I access CalendarHero settings from within a chat app?
From Slack or Teams, say "settings" in your assistant chat and it will give you a link to open settings in your browser. For full settings access, use the web app at app.calendarhero.com.
