Assistant Settings
Your CalendarHero meeting assistant is 100% AI-powered — it works around the clock without any human involvement. These settings let you customize how it presents itself and what it knows.
Personalize your assistant
Your assistant sends meeting invites on your behalf, so its name and title appear in all outgoing emails. Customize these at Settings → Assistant.
- Assistant's name — choose any name you like (e.g. "Aria", "Alex"). This is what invitees see in automated emails.
- Job title — choose between "Assistant" or "Automated Assistant". We recommend "Automated Assistant" so invitees aren't confused about whether they're interacting with a person.
- Custom email footer — add a footer that appears in all meeting invite emails sent by your assistant.
Team admins can set these values org-wide from Admin Settings, and optionally lock them so individual users can't override.
Learned preferences
When a setting shows Learned, it means your assistant used your data to infer a preference — such as your typical meeting duration or location. If the learned value is incorrect, uncheck Learned and enter the correct value manually. Your assistant will use the value you provide going forward.
Knowledge base
The knowledge base lets you configure automated answers to frequently asked questions. When a team member asks your assistant a question that matches an entry, the assistant responds with the pre-configured answer — without any manual lookup.
Typical use cases:
- Onboarding info: "What's the wifi password?" or "Who do I contact for IT help?"
- HR policies: "What is our vacation policy?"
- Sales enablement: answer product or pricing questions instantly
Simple questions have a single fixed answer. Complex questions branch based on the user's input, letting you build multi-step flows (for example, asking which country before giving the relevant dividend information).
To set up a knowledge base entry, go to Settings → FAQ and click + to create a new topic and question.
CalendarHero also automatically syncs articles from connected support platforms: Zendesk, ServiceNow, FreshDesk, and HelpScout.
People insights
People Insights (also called "Who Is") lets you quickly look up public information about anyone you're about to meet with. Ask your assistant in chat — "Who is Jane Smith?" — and it returns available public data including:
- LinkedIn, X, Facebook, and Medium profiles
- Website and recent blog posts
- Current organization and recent news
- Your meeting history with that person
- CRM or ATS data (if connected)
You can also view contact information from the Contacts page in the web app.
Introductions
Ask your assistant to facilitate a warm introduction to someone you want to meet. Your assistant finds which of your contacts has the strongest relationship with that person and sends them an introduction request on your behalf.
In chat, say:
- "Connect me to John Smith"
- "Introduction to Jane Doe"
Your assistant will show you a ranked list of mutual contacts. Select one and it sends an email requesting the introduction.
Weather
Your assistant can provide current weather and forecasts for your work location or any other location. In chat, ask:
- "What is the temperature in New York?"
- "Forecast for tomorrow in Toronto?"
- "Show me the weather forecast for next week"
To include a daily weather update in your morning briefing, set the forecast time in General Meeting Settings. Update your temperature unit preference (°F or °C) at My Profile → Weather.
Frequently asked questions
Is the assistant controlled by a human at any point?
No. The assistant is fully automated and AI-powered. It operates 24/7, including nights and weekends, without any human involvement.
Can I stop the assistant from sending messages on my behalf?
The assistant's outgoing invite message includes a fixed component that cannot be removed. The second part — meeting instructions or context — is optional and can be customized or left blank per meeting type.
Where does People Insights data come from?
Information comes from publicly available external sources — not from CalendarHero or your private accounts. CRM and ATS data is sourced from your connected integrations (HubSpot, Salesforce, Greenhouse, and others).
